Manguard Plus (“Manguard Plus”, “we”, “us”, “our”) is committed to protecting the privacy of every person who visits our website www.manguardplus.ie, contacts us, applies for employment with us, uses our security services or interacts with our staff and client portals. This Privacy Statement explains what personal data we collect, why we collect it, how we use and protect it, and the rights you have under the EU General Data Protection Regulation (Regulation (EU) 2016/679) and the Irish Data Protection Act 2018.

Privacy and information security are integral to how we operate. Our processing of personal data is governed by an Information Security Management System certified to ISO 27001 and supported by our wider certifications under ISO 9001, ISO 14001, ISO 18788 and ISO 45001.

3. Scope of this statement

This statement applies to personal data collected through:

  • the public website www.manguardplus.ie, including any forms, newsletter sign-ups and embedded content
  • our staff portal at staff.manguardplus.ie and our client portal at client.manguardplus.ie, when accessed through links on this website

any direct enquiry made to us by telephone, email or post in response to information published on this website.

Where you apply for a vacancy advertised on our site, your application is submitted through the external job board jobs.ie. Sections 5 and 8 below explain how that data flow is handled.

4. Personal data we collect

4.1 Information you give us directly

Contact form: your name, email address and the content of your message.

Newsletter sign-up: your name and email address, together with a record of your consent.

  • Telephone or email enquiries: any information you choose to share, such as your name, employer, role, contact details and the nature of your enquiry.

Tenders, quotes and contracts: business contact details and any operational information you share to enable us to scope or deliver services.

4.2 Information collected automatically when you visit the site

  • technical data including IP address, device identifiers, browser type and version, operating system, language and time zone
  • usage data including the pages you view, the links you click, the date and time of your visit and the referring website

cookies and similar technologies, as described in Section 9.

4.3 Information from third parties

  • publicly available information about your organisation where relevant to a business enquiry

information provided through jobs.ie when you apply for a vacancy we have advertised.

We do not knowingly collect special categories of personal data (such as health, biometric or trade union data) through the public website. Special category data may be processed elsewhere in our business, for example in the context of employment or vetting, under separate notices issued at the point of collection.

5. Why we process your data and our legal bases

We only process personal data where we have a lawful basis under Article 6 of the GDPR (and, where applicable, Article 9 for special category data). The table below summarises the main purposes.

5.1 Responding to enquiries

Purpose: to receive and respond to messages submitted through the contact form, by email or by telephone.

Legal basis: our legitimate interests in running our business and responding to those who contact us (Article 6(1)(f)); or steps taken at your request prior to entering into a contract (Article 6(1)(b)).

5.2 Marketing communications

Purpose: to send our newsletter and occasional service updates to subscribers.

Legal basis: your consent (Article 6(1)(a)). You may withdraw consent at any time using the unsubscribe link in any email or by contacting privacy@manguardplus.ie.

5.3 Recruitment

Purpose: to receive and assess applications for vacancies advertised on our website.

Legal basis: steps taken at your request prior to entering into a contract of employment (Article 6(1)(b)); our legitimate interests in identifying and engaging suitable candidates (Article 6(1)(f)). Applications are submitted via jobs.ie, which is a separate controller for the receipt of your application. We become the controller of the information shared with us through that platform once we receive it.

5.4 Service delivery and contract management

Purpose: to administer security services contracts, including communications with client representatives.

Legal basis: performance of a contract (Article 6(1)(b)) and our legitimate interests in managing client relationships (Article 6(1)(f)).

5.5 Website operation, security and improvement

Purpose: to keep the website secure, prevent fraud and abuse, diagnose technical issues, measure how the site is used and improve our content.

Legal basis: our legitimate interests in operating a secure and effective website (Article 6(1)(f)); your consent for non-essential analytics cookies (Article 6(1)(a)).

5.6 Legal and regulatory compliance

Purpose: to comply with obligations under Irish and EU law, including those imposed by the Private Security Authority and An Garda Siochana, and to respond to lawful requests from regulators, courts or law enforcement.

Legal basis: compliance with a legal obligation (Article 6(1)(c)); our legitimate interests in protecting our staff, clients and business (Article 6(1)(f)).

6. Cookies and similar technologies

Our website uses cookies and similar technologies to operate the site, remember your preferences, measure usage and support marketing. The table below describes the main categories.

6.1 Strictly necessary cookies

These cookies are required for the website to function, including secure session management for the staff and client portals. They are set on the basis of our legitimate interests and cannot be disabled without breaking the relevant functionality.

6.2 Analytics cookies

We use Google Analytics 4, Google Tag Manager, the Google Global Site Tag (gtag.js) and Google Site Kit to understand how visitors use the site. These tools collect device, browser and behaviour information in a form that is not normally identifiable on its own. IP addresses are truncated. Analytics cookies are set only with your consent.

6.3 Advertising and conversion cookies

We use Google DoubleClick (via Google Tag Manager) to measure the effectiveness of any campaigns we run and to limit the number of times you see the same content. These cookies are set only with your consent.

6.4 Managing your cookie preferences

7. Third parties who help us deliver the website

We use carefully selected third parties to operate this website and our related communications. Each is bound by a written contract or terms of service that include data protection obligations.

Amazon Web Services (AWS, Ireland region): hosting infrastructure for the website.

Blacknight Solutions: domain and DNS services.

Google Ireland Limited: Google Analytics 4, Google Tag Manager, gtag.js, Google Site Kit, Google Fonts and DoubleClick measurement.

SMTP2GO: transactional email delivery for messages submitted through the contact form.

Microsoft Corporation: Microsoft 365 / Exchange Online for our corporate email, supported by Exclaimer for email signature management.

jobs.ie: external job board through which applications for advertised vacancies are submitted.

Content delivery: Google Fonts, GStatic, Adobe Typekit, Font Awesome and jsDelivr for fonts, icons and libraries embedded in the site.

We do not sell your personal data. We do not share your personal data with third parties for their own marketing purposes.

8. International transfers

Most processing takes place within the European Economic Area (EEA). Some of our service providers, including Google, Microsoft, Amazon Web Services and SMTP2GO, are part of international groups and may transfer personal data outside the EEA, for example for support and storage purposes.

Where personal data is transferred outside the EEA, we rely on appropriate safeguards under Chapter V of the GDPR. These include the European Commission’s Standard Contractual Clauses, the EU-US Data Privacy Framework where applicable, and supplementary technical and organisational measures. You can request a copy of the safeguards in place by contacting privacy@manguardplus.ie.

9. How long we keep your data

We keep personal data only for as long as is necessary for the purposes set out in this statement and to comply with our legal, accounting and reporting obligations. Indicative periods are:

Contact form enquiries: up to 24 months from the last contact, unless the enquiry leads to a contract.

Newsletter subscriptions: until you unsubscribe, plus a short audit trail of your consent.

Unsuccessful job applicants: up to 12 months, unless you ask us to keep your details on file for future opportunities.

Successful job applicants: in line with our HR retention schedule (governed by employment and revenue law).

Client contract records: for the duration of the contract and for a minimum of 7 years thereafter to meet legal and tax obligations.

Website logs and analytics: up to 26 months, in line with Google Analytics defaults.

10. How we protect your data

Manguard Plus operates an Information Security Management System certified to ISO 27001 and aligned with ISO 31000 and ISO 22301. Our security controls include role-based access, multi-factor authentication on administrative accounts, encryption of data in transit, logging and monitoring, regular vulnerability assessments, supplier due diligence and staff training under our Physical Security, Information Security and Potential Threats Awareness Procedure (PRO_IMS_27).

Despite these measures, no transmission over the internet can be guaranteed to be entirely secure. You are responsible for keeping your account credentials for the staff or client portal confidential.

11. Your rights

Subject to certain conditions in the GDPR, you have the following rights in respect of your personal data:

Right of access: to ask whether we hold your personal data and to receive a copy.

Right to rectification: to ask us to correct inaccurate or incomplete data.

Right to erasure: to ask us to delete your personal data where there is no good reason for us to continue processing it.

Right to restrict processing: to ask us to suspend processing of your data while we verify its accuracy or our lawful basis.

Right to data portability: to receive your data in a structured, commonly used and machine-readable format, where the processing is based on consent or contract.

Right to object: to object to processing carried out on the basis of our legitimate interests, including direct marketing.

Right to withdraw consent: where processing is based on consent (for example marketing or non-essential cookies), you can withdraw it at any time without affecting lawful processing carried out before the withdrawal.

Rights relating to automated decision-making: we do not make decisions about you that have a legal or similarly significant effect based solely on automated processing.

To exercise any of these rights, please contact us using the details in Section 13. We will respond within one calendar month, with the option to extend that period by up to a further two months for complex requests.

We review this Privacy Statement at least annually and update it when our processing activities, the law or the technologies we use change in a material way. The effective date at the top of the statement shows when the current version was issued. Significant changes will be brought to your attention through a notice on the website or, where appropriate, by direct communication.
